EXECUTIVE ASSISTANT | POSITION FILLED
EXECUTIVE ASSISTANT | POSITION FILLED
We are recruiting for our Kelowna client for a competent Executive Administrative Assistant to provide excellent customer service and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the executive’s working life and communication. The ideal candidate must be extremely detail-oriented, enthusiastic, self-starting and deeply committed to the business.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Professionally respond to telephone calls, convey messages, monitor e-mail requests and follow up with customer.
• Manage and maintain executives' schedules, appointments and travel arrangements when necessary.
• Arrange and co-ordinate meetings and events and trade shows.
• Produce reports, presentations and briefs.
• Must be able to travel within North America.
• Follow up on all requests from customers and ensure that issues are resolved both promptly and thoroughly across multiple channels (phone, email faxes, etc.).
• Must be a quick learner, self-starter and a go-getter with the ability to handle customer orders from order placement to order delivery
• Review and process all warranty claims.
• Must have experience with data entry and order entry.
• Responsible for keeping track of purchase order and schedule deadlines.
• Need to be able to keep track of large number of orders via our vendors project management software.
• Managing and tracking of samples and warranty replacement products
• Process sales transactions, data entry of client orders and other information.
• Answers routine product questions and directs questions to appropriate personnel when necessary.
• File and retrieve documents and reference materials.
• Answering phones Order entry Order Tracking Order Scheduling
• Handle customer complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution
• Keep records of customer interactions, process customer accounts and file documents
• Build sustainable relationships and trust with customer accounts through open and interactive communication

• Ability to communicate clearly and professionally, both verbally and in writing

• Ability to manage own time
EDUCATION AND EXPERIENCE
• Minimum 3 years experience providing support at a high level.
• Proficient computer skills and in-depth knowledge of relevant software such as MS Office (ie: word, excel, outlook, etc).
• Knowledge of standard office administrative practices and procedures.
• Must have valid passport and be willing to travel several times a year.
• Minimum 3 years experience in a customer service or help desk capacity.
• Solid written and verbal communication skills.
• Post-secondary education preferred.
• Full comprehension of office management systems and procedures.
• Exemplary planning and time management skills.
• High School degree; additional qualification as personal assistant would be considered an advantage.
• Ability to multi-task, prioritize, and manage time effectively.
