Our client, in the construction industry, is seeking an Administration-Accounting Assistant to join their team. They are looking for someone who will be an integral member of the team and be responsible for accounts payable, payroll and administration processes for the organization. Excellent organizational, problem-solving skills and accuracy are important qualifications for this position. Accounts Payable Duties: 

o Matching PO’s and packing slips to vendor’s invoices

o Audit vendor’s invoices for completion and accuracy

o Matching vendor’s invoices to payment stubs

o Filing paid invoices into vendor’s folders

o Data entry of invoices

o Follow-up on payment discrepancies

Payroll Duties: 

  • Prepare Employment Contract Letters and co-ordinate with hiring managers
  • Enter, organize and file new employee information
  • Audit employees’ daily timesheets for completion and accuracy
  • Data entry of employees’ timesheets weekly
  • Data entry of employees’ hours onto Excel spreadsheet weekly
  • Balancing reports to Excel reports weekly
  • Learn the full cycle payroll duties (for vacation relief)

Administration Duties: 

  • Support for Senior Management
  • Handle confidential corporate document
  • Travel arrangements for management as staff as required
  • Attend management meetings and take minutes
  • HR support: document control
  • Various other duties as required
  • Greet visitors
  • Manage supplies and maintenance of office equipment
  • Order Office Supplies
  • Vacation Relief as needed


  • The ideal candidate for this position is a skilled multi-tasker, is reliable and is committed to consistently meeting deadlines;
  • Strong Word and Excel skills;
  • 3+ yrs of Payroll full cycle experience
  • 3+ yrs of A/P full cycle experience
  • Must be hands-on with the ability to work independently and as part of a team
  • Maintain confidentiality regarding sensitive information
  • Excellent organizational, problem solving skills and accuracy are important qualifications for this position, as well as good peer/customer relations and the ability to communicate clearly;
  • Previous experience in admin support for executive level roles is required
  • Experience with Sage is an asset
