OPERATIONS ADMINISTRATOR | POSITION CLOSED

Our client is looking to add an Operations Administrator to their amazing team. This is a new role and will report to the Director of Operations. The Operations Administrator is responsible for performing a variety of administrative duties supporting a large team. DUTIES

• Provides administrative support to in the maintenance of plant

• Organizes Inter Departmental meetings, Plant Committee meetings, Major Plant Announcements, and others, attending meetings and recording minutes as required

• Manages and administrate specific office contracts and in some cases, negotiate

• Coordinate and manage all IT issues related to facility printers and computers as assisting with company Quarterly Town halls communication via different forms of technology

• Assists with the administration and maintenance of plant logs, journals, security and training records

• Assists with the collection and research of data for report generation

• Assists with the administration and maintenance of filing systems for a range of programs and services

• Ensure efficient and smooth operation of the office environment related to the mail, stationary, inventory, management of the phone system, monitor and as directed, managing petty cash

• Monitors and Manages purchase orders, as well as coding invoices related to General Office and Plant Admin

• Prepare and distribute a variety of reports such as labor reports

• Track trends related to labor metrics, PMC metrics, and capital projects progress, reporting information to Director of Operations

• Assist team with management of CAR’s

• Promotes a health & safety culture by supporting a safe and healthy work environment through effective participation in the Health and Safety program, joint H&S committee (if applicable) and compliance with EH&S regulations

• Vacation relief for various other staff members


REQUIREMENTS:

• Strong data entry & spreadsheet skills

• Demonstrates a high degree of confidentiality and discretion while dealing with sensitive information

• Completes tasks, keeping in mind all aspects involved regardless of magnitude, check tasks and procedures with strong attention to detail

• Takes personal responsibility for the quality and timeliness of work and achieves results with no oversight including following guidelines, standards, regulations and principles

• Sources suppliers and renegotiates quotes, resulting in cost savings

• Acknowledgement of requests within 24 hours with a customer service approach

• Demonstrates excellent organizational skills and computer skills (Microsoft Office suite and Oracle Financial System)

• Operates in a professional manner, and ability to maintain good working relationships and credibility with all staff and employees


EDUCATION & EXPERIENCE:

• Completion of an Office Administrative program with a minimum of 2 years’ experience is an asset

• Strong customer service and communication skills.

• Strong knowledge of general office procedures, mail, courier and telephone systems.

• Proficient in Microsoft office (Word, Excel, Outlook, Power Point, Access)
